Weekly review, Time blocking, Personal OKRs, Habit loops
In short
An AI productivity coach is software that helps a person plan and protect time for their priorities. It runs a structured weekly review, turns goals into personal OKRs, plans time blocks for deep work, tracks completion and streaks, and follows up on missed tasks with a check-in and a corrected plan instead of guilt.
Personal OKRs give the week a reason
A to-do list tells you what is in front of you, not what matters. Sol starts with objectives and key results for one person: one to three objectives for the quarter, each with two to four measurable key results. An objective such as "become the go-to analyst for pricing" might have key results like "publish two pricing analyses", "run one pricing workshop for sales" and "cut monthly report preparation from 10 hours to 4".
The level assessment asks how you plan today, how often plans slip and why, and how many hours of focused time you actually get. Your radar covers prioritisation, planning, focus, follow-through, energy management and saying no, each from 0 to 5.
| Layer | Horizon | Example | Reviewed |
|---|---|---|---|
| Objective | Quarter | Become the go-to analyst for pricing | Monthly |
| Key result | Quarter | Publish two pricing analyses | Weekly |
| Milestone | Month | First analysis drafted and reviewed | Weekly |
| Weekly task | Week | Two 90 minute blocks on the data model | Friday check-in |
A weekly review that takes thirty minutes, not an afternoon
The weekly review is the habit that keeps everything else working. Sol guides it as a short session with fixed steps: look back at what you intended and what happened, clear loose notes and open loops, check progress on each key result, choose three to five tasks for next week that move a key result, and decide what you will not do.
Because Sol remembers previous reviews, patterns become visible. If every Thursday disappears into meetings or the same task has moved four weeks in a row, he says so and proposes a change, such as splitting the task, booking it earlier in the week or dropping it openly.
- Look back. Intended versus done, with the reason for each miss.
- Clear. Inbox notes and loose commitments captured or dropped.
- Check key results. One number per key result, updated.
- Choose. Three to five tasks tied to key results, with due dates.
- Protect. Time blocks booked for those tasks before the week starts.
Time blocking that matches the hours you really have
Time blocking fails when the plan assumes an empty calendar. Sol works from your real one. Here is an example: a 40 hour week with 16 hours of meetings and roughly 8 hours of email, messages and admin leaves about 16 hours. If half of that is realistic for deep work, the honest number is 8 focused hours, which is four 2 hour blocks. Planning 20 hours of deep work into that week guarantees failure.
With that number agreed, Sol assigns blocks to the tasks that move key results first, places them in the hours when your energy is best, and keeps a buffer for the unexpected. You paste your week or describe it, and he suggests the layout. He does not edit your calendar directly.
| Item | Hours per week | Note |
|---|---|---|
| Total working time | 40 | Your contracted or chosen hours |
| Meetings | 16 | Taken from your calendar |
| Email, messages, admin | 8 | Estimated from a normal week |
| Remaining time | 16 | Before interruptions |
| Realistic deep work | 8 | Four 2 hour blocks on key results |
Accountability that corrects the plan instead of blaming you
Every Friday, during your business hours, Sol sends a check-in email asking what got done. Missed tasks trigger a short conversation about the cause: underestimated size, a dependency on someone else, low energy, or a priority that was never real. The answer changes next week's plan. At the end of the month the plan correction resets milestones based on your actual pace.
The progress dashboard shows a weekly score, your streak of completed reviews, milestone completion and how your radar has changed. Seeing the review streak hold for eight weeks is often more motivating than any single finished task.
Material review for plans, schedules and long documents
Sol reviews what you produce to organise your work: a quarterly plan, a project schedule, a weekly agenda or a long report that needs to be cut down. The rubric checks whether priorities are explicit, whether every item has an owner and a date, whether the plan fits the available time, and whether the document says what decision it needs from the reader. Personal includes 10 reviews a month, Pro 30, and counters are monthly.
Who Sol is for, and where to get other help
Sol fits knowledge workers juggling several projects, new managers whose calendars filled overnight, freelancers who set their own hours and founders pulled in every direction. New managers often combine him with Grace, the AI leadership coach, and people chasing a promotion pair him with Jonah, the AI career coach. For a wider view of all mentors, see the AI coach overview.
Sol is a fictional AI persona built on common planning methods. He is not a therapist and does not diagnose attention or mood conditions. If low energy or focus problems persist, talk to a qualified health professional.

Questions about the AI productivity coach
Is an AI productivity coach just a fancy to-do list?
No. A list stores tasks. Sol decides with you which tasks matter, fits them into the hours you have, checks in when they slip and changes the plan based on what he learns about how you work.
Does Sol connect to my calendar or task app?
No. You paste or describe your week and update numbers in sessions. That keeps your accounts private, and the plan stays in your AiMentoring dashboard.
How much time does it take each week?
About thirty minutes for the weekly review and a few minutes for the Friday check-in. Many people also open a short session midweek when plans change.
What if I miss a whole week?
Sol notices the missing check-in, asks what happened and adjusts the plan. The goal is a system you can restart easily, not a perfect streak.
Can productivity coaching help with burnout?
Sol can help you plan a sustainable workload and say no more often. He is not a replacement for medical or psychological care, so persistent exhaustion is a reason to see a professional.
Which plan do I need?
Personal covers Sol plus one other mentor, one active goal and 300 messages a month, which suits most people. Pro adds all nine mentors and up to five active goals. See pricing for details.
